We all know the pain of Outlook overload. We’ve all felt its effects at some point; an unorganised mess with emails constantly flowing in, hampering the flow of work and tasks. For some people it’s just too much and causes inefficiencies, such as, trying to find emails, not organising threads, and so. But did you know that Outlook is actually a great piece of software for managing your emails, and it comes with some wonderful features to fix your email overload?

Outlook overload can be cured; here are a few tips

Outlook folders

If you don’t know what folders are in Outlook you’re probably already using them, by default most people will have folders such as ‘Inbox’, ‘Junk’ and ‘Sent’ and so on. These are found in the left-hand pane and you can create more folders for example by right clicking your ‘Inbox’ folder and in the menu selecting ‘New folder’ and typing in the name you want to assign to the folder. You can drag and drop emails into folders, making it easy to start sorting emails in a way that works for you.

‘Ignore’

You can automate the deletion of entire threads, and future emails from that thread, by clicking ‘Ignore’. Right click on the problematic email and in the context menu find ‘Ignore’, this will delete future messages automatically.

‘Rules’

‘Rules’ is another way to automate your Outlook. It looks quite complex due to the amount of options that are available, but it’s worth spending the time on it as this can really automate the process of sorting your Outlook. For example, you could create a rule that means all emails with an attachment go to a folder called ‘Email with attachments’. To create a rule, right click on an email type you want to create a rule for and then in the context menu go to ‘Rules’ and then ‘Create rule’. Initially, you will get some basic options for creating a rule. If you can’t see the rule you want you can click ‘Advanced options’ and the chances are it will probably be there. ‘Rules’ is one of the most powerful tools for conquering your Outlook.
